Summary
Gym Jotter stores workout data on your device by default. If you enable iCloud Sync, the app syncs that data through your iCloud account. The app sends anonymous, aggregated usage events (such as screens viewed and sets logged) to PostHog to help us understand how the app is used and improve it; this can be turned off at any time in Settings → Anonymous Usage Data. The website does not use analytics, advertising pixels, marketing cookies, or an embedded contact form. If you subscribe to Gym Jotter Pro, you can use the AI Trainer feature ("Jot"), which sends workout data and optional profile information to Google's Gemini AI through Gym Jotter's servers to generate personalised training guidance. If you enable Apple Health, recent Apple Health workout summaries may also be included as context for Jot.
Pro subscribers can also import a workout from a link; the link, public information about the post and, if you choose to add it, the video are read by Google's Gemini AI and the video is deleted afterwards (see Video and link import below).
Information the app handles
The app may handle information such as:
- Workout groups, exercises, sets, notes, and related timestamps.
- App preferences and settings stored locally on your device.
- Sync status and related app state needed to support optional iCloud Sync.
- If you use the AI Trainer, the conversation messages you send and receive.
- If you enable Apple Health: recent workout summaries from Apple Health, including source, activity type, date, duration, active energy, distance, and average heart rate where available.
- If you choose to fill in your Trainer profile: age, height, weight, sex, body fat percentage, goals, experience level, training style, injuries or limitations, equipment access, and preferences. This profile is entirely optional.
- Anonymous in-app usage events (see Anonymous in-app usage analytics below) unless you opt out.
Gym Jotter does not currently require a separate Gym Jotter username or password to use the app.
Information the website handles
The website provides information and previews of shared exercise content. It does not use analytics cookies, advertising cookies, or a hosted contact form. If you click an email link, your own email client handles the message.
Optional shared links
When you create a shared link, Gym Jotter uploads the copy you review to Cloudflare: its title, exercise names, exercise types, repetition or duration targets, optional starting weights, optional scheduling suggestions, and the instructions you choose to write. Logged sets, workout history, existing private notes, body metrics, Apple Health records, and Trainer conversations are not included in this sharing format.
Anyone with the link can view or forward its content without an account. Shared links expire after 30 days. You can revoke a link from Shared Links in the app’s Settings; revocation stops future retrieval and removes the active stored content, but cannot remove copies already saved or forwarded by recipients. The management credential is kept on the device that created the link; losing it can remove your ability to revoke the link yourself. Sharing a file instead does not upload its content to our link service.
The service stores hashes of publishing and management identifiers to enforce ownership, retry requests safely, and limit abuse. Expired snapshot content is removed by daily cleanup. Minimal link metadata is retained for up to 90 days after expiry to recognise unavailable links and previous requests. Short-lived request counters use rotating hashes of network addresses and are removed by daily cleanup. Cloudflare’s infrastructure also processes requests to deliver and protect the service. Shared preview pages have no analytics, cookies, or tracking scripts. You can report a shared link by email using the Report this content action on its preview.
Support email
If you contact support at [email protected], Gym Jotter receives your email address and any information you choose to include in your message, such as screenshots, device details, or app issue descriptions. That information is used only to respond to your support request and maintain support records.
AI Trainer (Jot)
Gym Jotter Pro subscribers can use the AI Trainer, an in-app chat feature powered by Google's Gemini AI. The Trainer is designed to provide general training guidance based on your workout history and, if you choose to share it, your personal profile.
What data is sent
When you send a message to the Trainer, the app transmits the following to Gym Jotter's servers, which forward it to Google's Gemini API:
- Your recent conversation messages (up to the last 12 message exchanges).
- Your workout data, including exercise names, muscle groups, sets, weights, reps, difficulty ratings, targets, timestamps, a 56-day rolling history, and an 18-month training summary.
- If you have filled in a Trainer profile: age, height, weight, sex, body fat percentage, goals, experience level, training style, injuries or limitations, equipment access, and preferences.
- If you have enabled Apple Health: recent Apple Health workout summaries so Jot can understand recent exercise logged outside Gym Jotter.
How the data is processed
Requests are routed through Gym Jotter's own server before reaching the Google Gemini API. Apple Health summaries are included only when Apple Health is enabled and are used as temporary Jot context. Gym Jotter removes Apple Health summaries from stored agent run recovery state and does not retain them on its servers after Jot finishes processing. Under Google's API terms of service, data sent through the Gemini API is not used by Google to train its AI models.
What is stored on your device
Your full Trainer conversation history and optional profile are stored locally on your device. If iCloud Sync is enabled, this data may also sync through your iCloud account. Recent Apple Health workout summaries may be cached locally on your device while the Apple Health integration is enabled, and are cleared from Gym Jotter's local cache when you turn the integration off.
Your controls
You can clear your entire Trainer conversation history at any time in the app. You can also edit or remove individual entries from your Trainer profile. Clearing conversation history removes it from the device and, if sync is enabled, from iCloud.
Video and link import (Gym Jotter Pro)
Gym Jotter Pro subscribers can paste a link to a workout (a TikTok, an Instagram Reel, a YouTube video or a web page), and Jot turns it into a routine in the app.
What is sent
- The link you paste, sent to Gym Jotter's server (Cloudflare).
- Public information the server reads about the post: for TikTok, the official caption, creator name and cover image; for YouTube, the title, channel, description and length; for other web pages, the page's text. The server sends this to Google's Gemini API to find the exercises.
- If the workout is only in the video, you can choose to add the video you saved. Gym Jotter makes a smaller copy on your iPhone and uploads it straight to Google's Gemini Files service with a one-time upload link from Gym Jotter's server. Gemini reads the video's frames, on-screen text and speech to find the workout.
- As with other Jot requests, your workout data may be included so Jot can match the exercises to your library (see section 5).
How long it is kept
- The video is deleted when Jot finishes reading it, or when you cancel. Any upload left behind is deleted by Google after 48 hours. Gym Jotter does not keep your videos.
- What Jot read from the link is kept only while the import runs, so the link isn't read twice, and is deleted when it ends.
- The routine you save is stored on your device, and in iCloud if sync is on.
Anonymous in-app usage analytics
To understand how Gym Jotter is used and prioritise improvements, the app sends anonymous, aggregated usage events to PostHog Inc., an analytics provider based in the United States. This is not advertising or cross-app tracking.
What is sent
- App lifecycle events (app installed, opened, backgrounded) and screen views.
- Specific in-app actions such as paywall viewed, set logged, group or exercise created, routine created, workout exported, and Trainer message sent.
- Non-identifying technical context attached to each event automatically by the SDK, including app version, OS version, device model class, locale, and timezone.
- An anonymous device-level identifier generated by the SDK so events from the same device can be grouped over time.
What is NOT sent
- Your name, email address, or Apple ID.
- Your Trainer conversation contents or profile fields (height, weight, goals, etc.).
- The contents of individual workout entries beyond the categorical event properties (e.g. an event records that a set was logged with a chosen difficulty; it does not send the names of your custom exercises or notes).
- Advertising identifiers (IDFA) or any cross-app tracking identifier.
Your controls
You can turn analytics off at any time in the app under Settings → Anonymous Usage Data. When the toggle is off, the SDK stops sending events. If you previously sent events and want them deleted, contact [email protected] with your anonymous distinct ID (visible in PostHog if requested) so the records can be removed.
Tracking and collected data declarations
As of 4 October 2026, Gym Jotter's Apple privacy manifest reflects:
- Workout data and optional user-provided profile information may be shared with a third-party AI service when the AI Trainer feature is used (App Functionality purpose).
- Health and fitness data from Apple Health may be read or written only when you enable Apple Health integration, and may be used for app functionality and Jot context.
- Anonymous Product Interaction and Other Diagnostic Data are collected for Analytics purposes via PostHog. These are not linked to a user identity and are not used for cross-app tracking.
The website does not use site analytics, ad tracking, or marketing scripts.
Optional iCloud Sync
If you enable iCloud Sync, workout data may be uploaded to and synchronized through your personal iCloud account using Apple's CloudKit and iCloud services. This allows your data to stay aligned across compatible devices using the same Apple account.
If you do not enable iCloud Sync, the app continues to operate in local-only mode on the device.
Third-party services
Gym Jotter may rely on these third-party services:
- Apple App Store for app distribution.
- Apple Health and HealthKit when you enable Apple Health integration.
- Apple iCloud and CloudKit when you enable sync.
- Google Gemini API for processing AI Trainer requests (Pro subscribers only).
- PostHog Inc. (United States) for anonymous in-app product analytics, unless you opt out in Settings.
- Email services used to send and receive support messages.
- Cloudflare for website hosting, request protection, optional shared snapshots, link import.
- Google Gemini Files for videos you add to a link import (Pro subscribers only), deleted after reading.
Gym Jotter does not include advertising SDKs or website analytics tooling.
Data retention
Workout data remains on your device until you delete it in the app, remove the app, or otherwise clear the app's local data. If iCloud Sync has been enabled, copies stored in iCloud may remain there unless separately removed.
Support emails may be retained for as long as reasonably necessary to respond to requests, investigate issues, and maintain support history.
AI Trainer conversation history is stored on your device (and in iCloud if sync is enabled) until you clear it. Data sent to the Gemini API is processed to generate a response and is subject to Google's API data handling terms, which currently state that API inputs and outputs are not retained for model training.
Apple Health workout summaries are kept in Gym Jotter as a local on-device cache while Apple Health integration is enabled. They may be included in a Jot request as context, but Gym Jotter removes them from stored agent run recovery state and does not maintain a separate server-side Apple Health history.
Anonymous analytics events sent to PostHog are retained for up to seven years under PostHog's default retention settings, after which they are automatically deleted. Deletion requests for events tied to a specific anonymous distinct ID can be sent to [email protected].
Link import videos are deleted when Jot finishes reading them (see Video and link import).
Your choices
- You can use Gym Jotter without enabling iCloud Sync.
- You can use Gym Jotter without enabling Apple Health, or revoke Apple Health access in the Health app or iOS Settings.
- You can use Gym Jotter without using the AI Trainer.
- You can turn off anonymous analytics in Settings → Anonymous Usage Data.
- You can delete workout content within the app.
- You can choose not to share content, exclude starting weights, and revoke your active shared links.
- You can clear your Trainer conversation history and edit or remove profile entries at any time.
- You can import a workout from the caption alone and never add the video.
- You can contact support to ask how current deletion behavior applies to your case.
Children's privacy
Gym Jotter is not directed to children under 13. If you believe personal information from a child has been sent through support email, contact [email protected] so the message can be reviewed and handled appropriately.
Changes to this policy
This policy may be updated as the app changes. If Gym Jotter later adds custom accounts or different sync, storage, or analytics behavior, this policy will need to change too.
